ASHwell is a sexual health and wellness center established in Austin, TX in the late 1980s.  We are passionately committed to diversity, equity, and belonging. Position Overview

 

ASHwell’s Rx Navigators are the heart of our HOPE Rx program, dedicated to Helping Overcome Prescription Expenses for our Patient Members.  HOPE Rx ensures zero-cost access to life-saving medication, removes financial barriers and supports self-determination by building access and Health Equity. The Rx Navigator’s vital role in ensuring our Patient Members’ access to medications and financial assistance programs means working closely with our Patient Members to minimize no-show appointments, maximize ease in accessing meds and adhering to medication schedules. They are the liaison between our Patient Members and: our clinic, our in-house pharmacy, external pharmacies, insurance companies and, assistance programs. The Rx Navigator works with cross functional team members to ensure the best and most efficient wrap-around support and plays a vital role in keeping ASHwell patients in care. 

 

Core Responsibilities

 

Rx Navigation & Support - 40%

Coordinate with in-house and other pharmacies to ensure Patient Members receive their medication 
Track prior authorizations, renewals, and prescription refills, and follow up on delays or denials
Enroll Patient Members in foundation-based or pharmaceutical prescription assistance programs to ensure that PrEP/HIV/HCV medications are acquired at no cost to the patient-client.
Assist clients in understanding their medication needs and options
Collaborate with the Health Insurance Enrollment team and provide one-on-one support to help clients navigate insurance coverage, copay programs, and patient assistance programs as needed
Educate clients about importance of accessing medication instructions, side effects, and importance of adherence
Provide culturally competent, trauma-informed guidance tailored to clients’ literacy and language needs
Collaborate with cross functional team members to ensure medication access needs are included in integrated care team rounds. 

Draft request for ASHwell’s internal “Care for All” Fund to eliminate gaps in cost coverage

 

Tracking & Communication – 30%

Maintains a spreadsheet tracking medication access and detailing delivery of medications.
Monitor and track patient paperwork to confirm all necessary documentation is received and correctly filed in collaboration with Health Insurance Enrollment and Intake Specialist teams
Track prior authorizations, renewals, and prescription refills, and follow up on delays or denials
Support the Intake Specialist team to contact Patient Members for reminders of upcoming appointments via phone call, email, or text message, providing any necessary instructions or information regarding their visit.
Consistently maintain and update tracking systems (Apricot, Athena, Spreadsheets) to monitor Rx access and ensure accurate records

 

Administrative – 20%

Assist Patient Members in completing intake and registration paperwork, including medical history forms, consent forms, etc. 
Review Patient Member’s documents and information to ensure accuracy and completion
Support the Health Insurance Enrollment team to gather necessary documents from patient-clients, such as identification, insurance cards, and medical records, and organize them for easy access by healthcare providers as needed
Keep track of any additional paperwork or information needed, remind Patient Members to provide missing documents, and follow up to ensure all necessary paperwork is completed in a timely manner
Assist in completing prior authorizations, insurer records requests, insurance opt-out processes, and patient-client assistance programs
Collaborate with Hope Rx team members to improve existing service and develop new strategies to maximize medication access

 

 

 

Baseline - 10%

Participates in all required staff meetings and retreats.
Maintains up-to-date calendar and work plan.
Utilizes agency-wide systems and protocols for all agency business.
Offers at least 24 hours' notice for internal meeting cancellations/rescheduling.
Maintains chain of command for internal communications. 

 

About You

 

ASHwell’s  Rx Navigator is a detail-oriented, customer service whiz who thrives in a culturally sex positive and kink forward environment and are excited to be part of the movement to End the HIV Epidemic. They are a medication access coach for our Patient Members. The Rx Navigator is passionate about expanding access to medication and making sure that no one falls through the cracks in the system. Keenly aware of unique Patient Member needs and challenges, the Rx Navigator is highly communicative, responsive, and happy to walk through whatever step is causing difficulty. The Rx Navigator is a problem solver who can easily form connections with those around them and has a gift for “getting everyone on the same page”.  They can connect their role and its responsibilities to the bigger picture of ASHwell’s mission. 

 

Required Qualifications

 

2+ years of customer service experience in any field
1+ years working with marginalized communities OR have lived experience
Strong interpersonal and communication skills for working directly with patients, providers, and pharmacies
Exceptional verbal and written communication skills for cross team collaboration 
Prior experience coordinating social or programmatic services
Ability to work independently, workplan and prioritize workload to align with departmental priorities
Strong analytical and problem-solving skills   
Ability to read, analyze, and convey complex information
Proficiency in Microsoft Office Suite - Teams, Word, Excel, OneDrive, PowerPoint
Lives in Austin, TX or within the greater Austin Metro Area or within 50 miles of ASHwell headquarters at 3800 Red River
In depth understanding of gender and sexual orientation spectrums 
High comfort level working in a pro-pleasure, pro-sex, pro-kink and pro-queer environment
Baseline understanding of Harm Reduction and need for HIV de-stigmatization 
Alignment with ASHwell values of race and gender justice, sexual and reproductive health equity

 

 

Preferred Qualifications

 

Bi-lingual English and Spanish speaking
HIPPA Certified
1–2 years of experience in healthcare navigation, case management, pharmacy, or patient advocacy
Prior experience working in a nonprofit environment
Prior experience and knowledge of medication access programs (e.g., 340B, PAPs, copay assistance)
Prior experience working with insurance plans, prior authorizations, and patient assistance programs
Prior experience working or volunteering in HIV/STI prevention or other community health programs, especially PrEP/PEP, HIV and or HCV treatment
Associate’s or Bachelor’s degree in healthcare, social work, public health, or a related field 
Prior experience working in sexual health and wellness field   
Experience working with EHRs/CRMs (Apricot, Athena, etc.)

ASHwell’s Rx Navigator is a detail-oriented people helper who enjoys problem solving.  They have worked with and understand the complexities of supporting individuals from marginalized communities and are able to adapt their approach to meet individual’s needs to help understand, access and navigate medication needs.  They understand the complexities of the healthcare system’s failures and are excited about helping to eliminate barriers people face in managing and coordinating their medication needs. The Rx Navigator is excited to work in an openly pro sex & kink forward environment. They approach their work with a pleasant attitude and “customer service” stance. They can be relied on to manage their time well, document thoroughly, organize their tasks, and report regularly on various aspects of their work to their supervisor and collaborators.

Our Hiring Process

The start date for this position is July 23, 2025 Applications are due no later than midnight CT on June 6, 2025. We are committed to offering the support, time and resources necessary to on-board and orient to the role.

ASHwell uses a cohort onboarding model. The start date kicks off three days of group orientation for hires across the organization.
