Administrative Coordinator (500078)
Under the supervision of the Associate Dean the Administrative Coordinator provides general office support to the Dean's Office and supports the Associate Dean with special projects and assignments. This position also serves as the first point of contact for the College of the Art's (COTA) visitors, administrators, staff, and students.
Manages the Associate Dean's calendar, screens phone calls, handles visitor arrangements, and manages incoming correspondence. Maintains accurate and up-to-date files. Prepares letters for the Associate Dean's signature. Prepares travel authorizations and claims for the Associate Dean. Distributes, monitors, and follows up on action items from the Associate Dean and reminds department offices of College and University deadlines. Supports general operations for the Dean's Office. Assists with special projects such as Commencement, COTA Convocation, Fund-Raising efforts, etc. as needed.
Knowledge Skills and Abilities
- Working knowledge of Excel, Outlook, and Word.
- Excellent organizational skills.
- Ability to effectively manage time and prioritize assignments.
- Ability to understand and implement University policy and guidelines related to Finance and HR.
- Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."
Education and Experience
Equivalent to four years of administrative support experience required (a bachelor's degree may be substituted for two years of experience). Experience managing calendars, generating professional letters, and preparing reimbursement requests preferred. A valid CA Driver's License required.
College of the Arts Administration
The targeted salary may be set as high as $3,450 per month based on experience. The salary range for this classification is $3,064 to $5,148 per month.

Full-time temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
